Responsibilities
The responsibility as specifically defined in the Constitution & Bylaws delves into areas reflected in Soror Farver’s leadership experience.
The National Secretary shall...
1. Prepare the agenda of all Board meetings at the direction of the International President and Chair of the National Board of Directors. Soror Farver has developed the monthly agendas as a Chapter President, Chair of National Internal Audit and National Finance Committees.
2. Prepare the minutes of the National Board of Directors and Executive Committee meetings. Soror Farver has ensured the minutes are captured, either those she has submitted or those submitted to her for authorization.
3. Ensure a copy of the minutes of each meeting of the board is forwarded to its members and certify the same as a true copy when necessary. Each meeting, the previous month’s minutes and references are distributed. When requested by leadership or our external auditors, the records from Finance are provided as proof of the sorority’s policies.


4. Send notices to the National Board and Committee meetings to the members of the Board. Soror Farver provides written notice of upcoming meetings and provides calendar invites to be reflected on member schedules.
5. Maintain a central calendar for meetings, major events, and other activities. Soror Farver will coordinate with the leadership for our major events, online webinar approvals, and special occasions. Where appropriate, a public facing calendar can be used to increase awareness and support for committee/commission work.

6. Perform related duties assigned to the National Secretary by the Chair of the Board. Soror Farver welcomes any assignment, challenge or task. Always has, always will.
7. Certify actions of the National Board of Directors and Grand Chapter. In her present roles, Soror Farver is often asked to validate the outcomes and decisions resulting from the board or committee activity.

8. Affix the seal of the sorority. Soror Farver will be a trusted custodian of the Sorority Seal.


9. Authenticate the records of the sessions of the National Convention, not later than 180 days from the receipt of said convention transcript. Soror Farver will collaborate with our staff and production management to gather the transcripts, written motions, and recordings to prepare a comprehensive document.
10. Provide a finalized report of the proceedings and actions from the National Board of Directors meetings to each member within 30 days of ratification by the National Board of Directors. The timely submission of the minutes will be available, and the ratified report will be posted to the secured, corporate Sharepoint repository.
